How PayTrack works
Everything you need to know to submit payments, upload receipts, and track your balance.
1. Getting started
- Register with your full name, matric number, faculty, department and level on the sign-up page.
- Verify your email using the link we send you.
- Log in from the login page and you'll land on your dashboard.
2. Your dashboard explained
The dashboard shows four key numbers at a glance:
Total Fee
The full amount you're expected to pay.
Total Paid
Sum of all your approved payments.
Balance
What's left to pay (Total Fee − Total Paid).
Payments
How many receipts you've submitted in total.
The progress bar below the cards shows how close you are to fully paying your fee.
3. How to submit a payment
- Tap "View payment details" to see the bank account.
- Make the transfer from your bank app.
- Tap "Tap to select receipt file" and choose the receipt from your gallery (JPG, PNG, or PDF — under 2MB).
- Our AI reads the receipt and shows the verified data (amount, date, time, reference).
- Confirm the amount and tap Submit Payment.
4. What makes a valid receipt
For your receipt to be accepted, it must clearly show all of:
- Payment amount
- Date
- Time
- Transaction reference / session ID
We reject memes, selfies, chat screenshots, blurry images, or anything that isn't a real bank / mobile-money receipt.
5. Duplicate receipts are blocked
Each transaction reference can only be submitted once. If you try to upload a receipt whose reference already exists in our system, the submission will be blocked immediately — both by the app and by the database.
If you genuinely made a new payment, make sure you upload the receipt for that new payment, not the old one.
6. Payment statuses
- PendingSubmitted, waiting for an admin to review.
- ApprovedVerified — added to your Total Paid.
- RejectedNot accepted — see the reason and submit a new one.
You can only have one pending payment at a time. Wait for it to be reviewed before submitting another.
7. Notifications
The bell icon at the top of your dashboard shows updates whenever your payment is approved, rejected, or needs attention. A red dot means you have unread notifications.
8. Troubleshooting
Upload doesn't work on Android
Use the latest Chrome. Pick a single image (not a "share to app" flow). If it still fails, try a smaller image or take a fresh photo of the receipt.
"Image is over 2MB after compression"
Crop the image to just the receipt and re-upload.
"This receipt has already been submitted"
The transaction reference is already in our database. Use the receipt from a new transfer.
Can't log in
Make sure your email is verified and your password is correct. Use "Forgot password" to reset.
